A general accountant can prepare accounts and returns for most businesses, but dental work brings its own detail: NHS and private fee income, associate contracts and practice deductions, indemnity cover, registration and professional subscriptions, equipment purchases, and the way different income types are recorded. An accountant familiar with these areas can ask the right questions early in the year, which often makes record-keeping and reporting smoother. It also helps to work with someone who understands how your role, whether associate, principal or practice owner, affects your tax position.
Not always, and it depends on your circumstances. If you are self-employed as an associate, receive untaxed income from one or more practices, or have other income that is not taxed at source, a Self Assessment tax return is usually required. If you are employed under PAYE and your tax affairs are straightforward, that may not be the case. It is worth reviewing your position, because associate arrangements vary and some contracts sit closer to employment than self-employment in practice.
For a self-employed dentist or practice, both NHS and private fee income are generally taxable as trading or professional income, but they can behave differently in practice. Payment timetables, clawbacks and contractual deductions vary, and the records needed to support each stream can differ. The important point is that each income type is recorded clearly so your accounts and tax return reflect what you actually earned. Where a practice mixes NHS and private work, we keep the income types distinguishable through the year rather than trying to reconstruct them at the end.
It depends. Many dentists trade as sole traders or through partnerships, while others incorporate a limited company for the practice, and some associates work through their own personal service company. Each structure carries different reporting duties, tax treatment of profits and administrative requirements, and what suits one dentist may not suit another. It is worth reviewing the options against your income level, your plans for the practice and how you want to take money out.
Yes. Payroll support is available for practice staff such as nurses, receptionists and hygienists, as well as for paying yourself and any other directors if you operate through a company. That can include payslips, real time information submissions, pension duties where they apply, and dealing with starters and leavers. Many practice owners find it simpler to keep payroll in the same place as their accounts so the records stay consistent.
Usually we ask for your previous accounts or tax returns, details of your income sources, whether NHS, private or both, and records of costs such as indemnity cover, subscriptions, equipment and practice overheads. Bank and credit card statements, payroll information and any VAT records are helpful too. If your bookkeeping is behind, we can work with what you have and help you establish a routine that is easier to keep up with.
VAT treatment depends on the services provided. Many dental treatments are exempt, but cosmetic procedures, certain products and other non-clinical services can be treated differently, and the position can change as a practice grows or diversifies. Registration is only necessary once taxable turnover passes the relevant threshold, although some practices register voluntarily. It is worth reviewing your mix of income rather than assuming a single answer applies to every practice.
Switching accountants is usually straightforward. With your authorisation, we can contact your existing accountant for the relevant records, request professional clearance where needed, and take over the filing responsibilities from an agreed date. It often helps to plan the change around your year end so the accounts and returns are prepared from one continuous set of records. If a deadline is approaching, tell us early so the transition does not create unnecessary pressure.
