You are not legally required to appoint an accountant, but as a self-employed associate you are responsible for reporting your income and expenses through Self Assessment. That can involve recording percentage-based fees from one or more practices, claiming allowable costs such as indemnity cover, GDC fees and professional subscriptions, and dealing with payments on account. An accountant can help you keep those records tidy and prepare your return accurately, which is often worthwhile where you work across several practices or your income varies from year to year.
Both are generally taxable, but practices often receive NHS contract payments on a different pattern from patient fees, and the two may need to be tracked separately for management and VAT purposes. Where a practice provides exempt healthcare services alongside chargeable items, VAT treatment can vary, and the position depends on the specific supplies being made. Common examples include indemnity insurance, GDC registration and professional body subscriptions, continuing professional development, clinical equipment, laboratory costs and, depending on the arrangement, a proportion of home or practice running costs. Whether a particular cost is allowable depends on the circumstances, including whether it is wholly and exclusively for business purposes and whether you are employed or self-employed. Capital items such as major equipment purchases are treated differently from everyday running costs.
Yes. Practice payroll often covers a mix of salaried staff, such as nurses, receptionists and practice managers, and associates paid under different arrangements. We can run payroll, calculate PAYE and National Insurance, handle pension auto-enrolment obligations where they apply, and produce the payslips and reports your practice needs. Associates are usually treated differently from employees, so it is worth checking how each person on your team should be paid and reported.
There is no single right answer. Partnerships are common among principal dentists who share premises and costs, while a limited company can suit practice owners looking for a particular structure around profit extraction, ownership or future sale. Each option affects how profits are taxed, what accounts must be filed and how much administrative work is involved. We review your circumstances, plans and income levels before setting out the practical implications of each route.
Fees are based on the scope of work rather than a flat figure, because a sole associate dentist submitting a Self Assessment return and a limited company practice with payroll, VAT and multiple staff have very different requirements. Switching is usually more straightforward than people expect. We can contact your existing accountant for the information needed to take over, including prior accounts, tax returns and bookkeeping records, and we handle that correspondence on your behalf. The main thing is to make sure your records are up to date and that any outstanding filings are dealt with, so a handover is best planned rather than rushed.
It helps to have your most recent tax return, accounts, bookkeeping records, bank and card statements, details of any NHS contract payments, associate fee statements and information on professional expenses such as indemnity cover. If you operate through a limited company or partnership, we will also need relevant company or partnership information.
