The work varies with your circumstances, but typically it covers preparing and filing your Self Assessment tax return if you are self-employed or a partner, maintaining bookkeeping records, preparing annual accounts for a limited company or partnership, calculating Corporation Tax or partnership profits, and handling payroll if you employ staff. For practice owners, it can also include VAT returns, management information on practice performance, and tax planning around drawings, dividends or pension contributions. The starting point is establishing exactly how you are engaged and what income sources you have.
Associates are usually treated as self-employed, which means you are responsible for registering with HMRC, keeping records of fees earned from each practice, and filing a Self Assessment tax return. You may also need to consider payments on account, student loan repayments if applicable, and how practice deductions such as lab fees or materials are reflected in your figures. An accountant can help you consolidate income from multiple practices into one clear return and identify expenses you may not have considered claiming.
Both are taxable, but the way each is recorded and documented can differ. NHS contract income is usually received through the practice or a provider arrangement, while private fees may come directly from patients or be collected by the practice and passed on to you. Keeping these streams separate in your records makes it easier to reconcile payments, complete returns accurately, and assess whether any VAT considerations apply. The correct treatment depends on your contract and how the practice administers payments.
Allowable expenses are those incurred wholly and unnecessarily for the purposes of your work. For dentists, this may include professional indemnity insurance, GDC and professional association subscriptions, CPD and training, specialist clothing such as scrubs, and certain equipment. Some items, particularly capital purchases like chairs or imaging equipment, are treated differently and may attract capital allowances instead. Because the rules on what qualifies are specific, it is worth having your expenditure reviewed rather than assuming a general rule applies.
There is no universal answer. A newly qualified associate may find sole trader status straightforward, while a practice owner with several partners may be better served by a partnership, and a growing practice may consider incorporation. Each structure affects how profits are taxed, how accounts are filed, and how National Insurance and drawings are handled. The right choice depends on your income level, your plans for the practice, and how you want profit distributed, so it is usually a decision worth discussing in detail.
VAT registration depends on your taxable turnover against the relevant threshold and on the nature of the services you provide. Some dental treatment is exempt while other services, such as certain cosmetic procedures or sales of goods, may be taxable. A mixed practice can therefore have a more complex VAT position than it first appears, and registering when it is not required can create unnecessary administration. If you are approaching the threshold or taking on private work, it is sensible to review the position in advance.
For self-employed associates and partners, this usually means details of your practices, contract terms, records of fees received, expense receipts and bank statements covering the relevant period. For a limited company, we would also need company records, payroll information, VAT records where registered, and details of any equipment or premises costs. If you are switching from another accountant, your current records, previous accounts and tax returns help us pick things up without duplicating work.
In practice, it is usually straightforward. The main requirement is making sure your bookkeeping is up to date and that outstanding returns or payments are identified early.
