Many associate dentists do benefit from professional support, particularly because associate work often involves self-employed income, practice fees and a range of expenses that need to be recorded accurately. If you work across more than one practice, with NHS and private income, the record keeping can get complicated quickly, and having that organised can save a great deal of time.
Both NHS and private dental income are generally taxable, but how they are reported depends on whether you receive them as a self-employed dentist, through a partnership, through your own limited company, or as an employee. VAT treatment can differ too, since dental care is often exempt while certain other treatments may be chargeable. Because the detail varies with your contract arrangements and business structure, it is worth reviewing your individual position rather than relying on a general rule.

Most practices need a combination of bookkeeping, annual accounts and tax returns, and many also need payroll for practice staff, VAT guidance where applicable, and management information that shows how the practice is performing. Practices trading through a limited company will also have Corporation Tax computations and confirmation statement obligations, while partnerships need partnership returns and profit allocation. The right mix depends on the size of the practice, whether it holds an NHS contract, and how the business is structured.
There is no single answer that suits every dentist. The right structure depends on how many people are involved in the practice, how you want to share profits, your attitude to financial risk and how you intend to take money out of the business. A limited company can offer different tax and administrative arrangements compared with a partnership or sole trader, but it also brings additional filing and reporting responsibilities. We can talk through the practical implications of each option based on your circumstances.
VAT registration depends on your turnover and the nature of the services you provide, so it is not something that can be answered with a blanket yes or no. Many dental treatments are exempt from VAT, but some cosmetic or elective procedures and certain product sales may be treated differently, which can affect whether registration is required and how you account for it. Reviewing your income streams and treatment mix is the sensible way to establish your position.
In general, you should keep records of all income received, including NHS contract payments and private fees, together with invoices and receipts for expenses such as indemnity cover, GDC registration, CPD, professional subscriptions, equipment and mileage for travel between practices. Bank statements, payroll records and any VAT records should be retained as well. Good record keeping throughout the year makes returns easier to prepare and reduces the risk of missing something that could affect your tax position.
Switching accountants is usually simpler than people expect. In most cases we can contact your existing accountant on your behalf to request the records we need, and we will confirm what information is required to get your affairs up to date. If you are midway through a tax year or have an outstanding filing to deal with, we can factor that into the handover so nothing is missed. It is also worth checking whether your current accountant holds any documentation you may need access to.
