I worked with Accotx on a HMRC reclaim and overall, they did ultimately deliver on their promise, which I appreciate. The process did take longer than any of us expected, partly due to external delays with the tax authorities, and partly because there were some hiccups in communication and follow-up. However, despite those challenges, they stayed professional and stuck to the original agreed terms. If you’re considering using them, be prepared to stay in regular contact to keep things moving along. They are absolutely capable, have the expertise and willing to work with you, and overall improving their services over time. I would certainly return for any future needs.Posted on Google![]()

Financial and Accounting Considerations for Dental Practices and Dentists
Dental accounting comes with its own set of considerations, and which of them matter most to you will depend on how you practise, how you are paid and how your business is structured. The points below are common areas where dentists and practice owners look for clarity.
- Recording a mix of NHS and private dental income accurately, particularly where both form part of your earnings
- Understanding how associate dentist arrangements affect what is reported, and by whom
- Tracking professional expenses such as indemnity cover, professional registration and professional subscriptions
- Accounting for dental equipment, surgery fixtures and other capital expenditure over time
- Running practice payroll and managing employment costs for clinical and support staff
- Reviewing business structure, VAT position and practice cash flow as the practice evolves

FAQs
As an associate, you are often responsible for your own tax reporting on the fees you earn, even though the practice handles the patient side of things. We can help you keep track of session income from one or more practices, record the professional costs you incur, and prepare your Self Assessment tax return so the figures reported reflect your actual circumstances. Where you also receive income from other sources, such as locum work or teaching, we can bring those into the same picture.
It depends on your circumstances. If you are self-employed, a partner in a dental partnership, a company director receiving dividends, or you have untaxed income from property or investments, you are more likely to need to file a return. Dentists taxed entirely through PAYE with no other income may not need to file, although there are exceptions. We can review your position and confirm what applies to you.
Certain costs connected to your professional work may be allowable, such as indemnity cover, professional body subscriptions and registration fees, along with costs relating to equipment, uniforms and travel between sites in some situations. Whether a particular expense can be claimed depends on the nature of the cost and how it relates to your work, and some items are treated as capital rather than revenue expenditure. We can look at your outgoings individually and explain the treatment that applies.
Yes. Dental practices often employ a mix of clinical and support staff, including nurses, receptionists and practice managers, and each may be paid on different arrangements. We can handle payroll processing, payslips, and the reporting obligations that come with employing staff, as well as helping you understand the associated employment costs so they are reflected properly in your practice accounts.
There is no single answer that suits every practice. The right structure can depend on how many principals are involved, how profits are shared, how you wish to take money out of the business, and your plans for the future. Sole trader and partnership structures are common, while a limited company may suit some practice owners. We can talk through the tax and administrative implications of each option so you can make an informed decision.
VAT treatment can vary depending on the type of treatment provided and whether goods or non-clinical services are supplied alongside it. Some dental services may be exempt in certain circumstances, while other supplies can fall outside that treatment. Because the rules are fact-specific, it is worth reviewing your individual position rather than assuming a blanket answer applies to the whole practice.
Switching is usually more straightforward than dentists expect. We can liaise with your existing accountant to obtain the information needed, such as your previous accounts, tax returns and bookkeeping records, and then pick up the work from an agreed point. If records need tidying or certain filings are outstanding, we will explain what needs to be addressed and in what order.
It helps to have details of your working arrangements, such as whether you are employed, self-employed or a practice owner, along with your income sources and any existing accounting records. Bank statements, invoices, expense receipts, payroll information and copies of previous tax returns or accounts are all useful. If you are unsure what is relevant, we can guide you through it so nothing important is missed.
