The main difference tends to be familiarity with how dental income arrives. A general accountant may be perfectly capable, but dental work often involves NHS contract payments alongside private fees, associate arrangements, laboratory costs and a mixture of employed and self-employed income. Understanding how those elements are recorded and reported can reduce the risk of omissions, misclassified expenses or confusion over which structure suits you best. It also means the questions asked at the outset are the right ones for your circumstances.
Many associate dentists are treated as self-employed for tax purposes and are therefore responsible for reporting income and expenses through Self Assessment. Others are engaged as employees, in which case PAYE applies, although a return may still be needed where there is other income or untaxed income to declare. The position depends on the terms of your engagement and how the practice treats your fees, so it is worth checking rather than assuming that one set of rules applies to everyone.
Both types of income are generally taxable, but they behave differently in your records. NHS contract income may arrive as scheduled payments that need to be matched to the correct period, while private fees are usually invoiced individually and can include laboratory charges, payment plan receipts and cosmetic treatments. Keeping these streams separately and consistently recorded makes it easier to prepare accurate accounts and returns, and to see how each part of the practice is performing.
Yes, where those services are needed. Dental practices often run payroll for receptionists, dental nurses, hygienists and associates, which can involve real time reporting, payslips, starters and leavers, and workplace pension duties where they apply. Bookkeeping can be handled on an ongoing basis or tidied up before year end, depending on how the practice already operates. VAT returns and management information can sit alongside this where they are relevant to your turnover and the services you provide.
There is no single answer, because the right structure depends on your income, how many principals are involved, your plans for the practice and your wider personal circumstances. A limited company can suit some principals, while a partnership or sole trader structure may remain appropriate in other situations. It is a decision worth reviewing periodically, as growth, a change in the number of partners or a shift towards private work can alter which option makes sense.
Costs incurred wholly and exclusively for the purposes of your dental work may be allowable, which can include professional registration, indemnity insurance, CPD that maintains existing skills and certain equipment purchases. Other costs, such as ordinary commuting or items with a personal element, are usually treated differently or restricted. Because the treatment depends on the nature of the cost and how it is incurred, it is worth keeping records and reviewing claims carefully rather than estimating.
Usually an overview of how you work and how you are paid, details of any practice you are involved in, and copies of recent accounts or tax returns if you have them. Records such as invoices, bank statements, payroll information and details of significant purchases help build an accurate picture of your position. In most cases, yes. Switching usually involves a short handover, including authorisation for us to contact your existing accountant and obtain the records and filings relevant to your affairs. Once that is in place, we can pick up the ongoing work and make sure nothing is left outstanding. It often helps to plan the change at a natural point in the year, such as after a set of accounts or a tax return has been completed.
