We worked with a few different accountants before finally settling with Accotax, and we’re really glad we did. Their team is great. Abdul is responsive and easy to reach whenever I have a question, which makes a big difference. They take the time to understand how our business works and what our needs are. They are very knowledgeable, and when they don’t have the answer straight away, they take the time to look into it and get back to us quickly. Anum, who looks after our account on a day-to-day basis, including reconciling invoices and preparing the annual accounts, is amazing. She is professional, efficient, and follows the processes we have put in place together. She's also very quickin getting back to us whenever needed. We’re very happy to work with her and hope to continue doing so for as long as possible. Overall, Accotax has made our accounting experience much smoother and easier. We see them as a long-term partner as our business continues to grow. I would 100% recommend them.Posted on Google![]()

Self-assessment, allowable expense claims, lab fees and superannuation reconciliation for self-employed associates and private dentists.
Practice accounts, payroll for nurses and receptionists, UDA income monitoring, cash flow and profit extraction planning.
Accounting for referral-based and specialist practices, including capital allowances on equipment and VAT on cosmetic treatment.
Cash flow forecasts for lenders, company formation, cloud software set-up and registration for new and squat dental practices.
We reconcile NHS schedules, private takings, plan income such as Denplan and card receipts so you always know what the practice is really earning.
Most dental treatment is VAT exempt, but cosmetic work, teeth whitening and product sales are not. We handle partial exemption and get your returns right.
We prepare associate tax returns, claim every allowable expense from GDC fees and indemnity to CPD and lab costs, and reconcile superannuation deductions.
Payroll for nurses, hygienists and reception staff, plus auto-enrolment, statutory pay and NHS Pension submissions handled on time every month.
Management accounts that show profit per surgery, per associate and per income stream, so you can see exactly where the practice makes money.
Dental accounting can involve more layers than the word "accounting" suggests, largely because income arrives in different ways and the rules that apply depend on how you are engaged and how your practice is set up. The points below are common considerations rather than fixed rules, and which of them affect you will depend on your working arrangement, your income sources and the structure of your business.
We know UDAs, superannuation, associate agreements and GDC costs without being told.
Associates, principals and multi-site groups each get a different service, not a template.
One agreed monthly fee with no hourly billing and no surprises at year end.
Incorporation reviews, capital allowances on equipment and profit extraction planned in advance.
You deal with the same qualified person every time, by phone or email, not a call centre.

Take a back seat and let our London dental accountants handle everything. Switching mid-year is straightforward and you do not need to speak to your old accountant:
Reach out to us and we will discuss your practice, your contract and how we can help.
We’ll send over a simple letter to formalise our partnership and get everything in motion.
If you're switching, we’ll take care of contacting your previous accountants to make the transition smooth.
From there, sit back and relax. We’ll manage your accounts, taxes, and everything in between, keeping your practice running smoothly.
Many associate dentists work on a self-employed basis and are therefore responsible for their own tax reporting, usually through Self Assessment. If you receive income from one or more practices, have UDA-based earnings, private fees or additional income streams, the calculations can become more involved than a single figure on a form. An accountant can maintain the records, work out the figures, complete the tax return and identify expenses that may be allowable, such as indemnity cover, professional registration and certain costs of working. Whether you need ongoing support or seasonal help with a return is a matter of personal preference and how complex your affairs are.
Where a dentist or practice receives both NHS contract income and private treatment fees, the two are usually tracked separately so that records remain clear for tax, VAT and internal reporting purposes. The way each element is treated can differ, and the position also depends on whether you are working as a sole trader, in a partnership or through a limited company. Keeping income streams distinct throughout the year makes the accounts more reliable and reduces the scramble for information when returns are due.
Yes. Dental practices often employ receptionists, dental nurses, hygienists and associates, and that brings PAYE, pension duties and employment costs into play. Payroll support can cover running the monthly payroll, producing payslips, handling starter and leaver information, and keeping the associated records in order. Where practices engage associates on a self-employed basis alongside employed staff, the distinction between the two arrangements matters and should be reviewed carefully, since getting it wrong can carry tax and National Insurance implications.
There is no single answer, because the right structure depends on your level of profit, how many people are involved in the practice, whether you hold NHS contracts, and your plans for the future. Operating as a sole trader is straightforward, partnerships allow profits and responsibilities to be shared, and a limited company can suit some practice owners but comes with additional filing and compliance duties. A change of structure is a significant step, so it is usually worth reviewing the tax and practical consequences before making a decision rather than after.
Expenses that may be allowable include professional indemnity cover, GDC or professional body subscriptions, continuing professional development that is relevant to your existing work, specialist clothing such as clinical tunics, and certain costs connected with running a practice, such as equipment, premises and staff. The rules are specific, and not every cost a dentist pays is claimable in every circumstance, so expenditure is normally reviewed against the relevant criteria. Where items are substantial, such as equipment or surgery improvements, the question often shifts to capital allowances rather than simple expenses.
VAT treatment in dentistry is not uniform. Many NHS dental services and certain treatments fall outside the scope of VAT, while other supplies, including some private cosmetic or cosmetic-adjacent treatments and certain product sales, may be taxable. Whether a practice needs to register depends on its turnover and the nature of its income, and the position can change as a practice grows or shifts its mix of work. It is worth reviewing VAT treatment whenever your services or income streams change.
As a general guide, keep records of all income received, whether from NHS contracts, private fees, associateship arrangements or other sources, along with invoices and receipts for practice and professional expenses, payroll information for staff, bank and card statements, and details of any equipment or premises costs. Retaining these in an organised way throughout the year makes accounts preparation quicker and reduces the risk of missed allowances or inaccurate returns. If you are behind on your records, that is not unusual and can usually be brought back into shape.
Switching usually begins with a conversation about your current position, followed by a review of your existing accounts, tax returns and record-keeping. Once the scope of work is clear, professional clearance is requested from your existing accountant so that relevant information can be transferred properly. Any outstanding filings are then dealt with, and an ongoing plan for bookkeeping, accounts, payroll and tax reporting is agreed, so the transition is handled in an orderly way rather than left half-finished.
